1. Who We Are and Scope of This Policy
VogueNThreads is the controller of the personal information described in this policy. This policy applies when you browse voguenthreads.com (the Site), create or use an account, subscribe to updates, contact us by email or WhatsApp, place or manage an order, submit measurements or preferences, or ask for delivery, fit, alteration, return, refund or remake support.
The Site serves customers in the United Kingdom and may accept orders for other destinations. UK data protection law is the primary framework for this policy. Customers elsewhere may have additional rights under their local law. This policy deals only with personal information; our Shipping Policy, Refund Policy and Return & Remake Policy govern the relevant order and service terms.
If you provide information about another person, such as a recipient, member of a wedding party or person whose measurements are submitted, you must have permission to provide it and should make this policy available to them.
2. Personal Information We Collect
- Identity and contact information — Name, email address, telephone number, billing and delivery address, and the details of a nominated recipient.
- Account information — Login credentials or account identifiers, saved addresses, saved preferences, account activity and order history. Passwords are managed through the commerce platform and are not visible to VogueNThreads in plain text.
- Order and garment information — Products, size, fit, fabric, style, customisation choices, body measurements, requested dates, delivery instructions and other information needed to prepare a standard-size or made-to-measure order.
- Fit and support material — Messages, call notes and photographs or measurement evidence you choose to send when requesting measurement help or reporting a fit, damage, quality, delivery, return, refund or remake issue.
- Payment and transaction information — Order value, currency, payment status, transaction reference, refunds and limited payment-method details supplied by the payment provider. Full card details are generally entered directly into the checkout provider's secure payment environment and are not stored by VogueNThreads.
- Marketing information — Newsletter subscription, marketing preferences, consent records, responses to campaigns and unsubscribe choices.
- Website and device information — IP address, device and browser details, approximate location, referral source, pages viewed, searches, clicks, scrolling, session activity, identifiers and diagnostic or security logs collected through cookies, pixels, tags and similar technologies.
- Compliance and fraud information — Information required to confirm identity, prevent misuse, assess suspicious transactions, comply with law, handle complaints or establish and defend legal claims.
Please do not send health information, identity documents, full payment-card details or other sensitive information by email, contact form or WhatsApp unless we specifically request it and explain why it is needed. If optional material includes sensitive information, we will minimise its use and apply an additional legal condition where the law requires one.
3. How We Obtain Information
- Directly from you — For example, when you order, create an account, submit measurements, join the mailing list, complete a form or contact support.
- Automatically from the Site — Through server logs, Shopify technologies, cookies, pixels, tags, local storage and analytics or security tools.
- From service providers — For example, payment confirmation from a payment provider, delivery updates from a carrier, account information from Shopify or Shop, and fraud or security signals.
- From another person — For example, where a purchaser provides a recipient's address or measurements for a group order.
4. Why We Use Information and Our Lawful Bases
UK law requires a lawful basis for each use of personal information. The basis depends on the context, and more than one basis may apply. Our principal purposes and bases are set out below.
- Accounts and enquiries — Create and manage accounts; answer product, size, measurement and availability questions; keep requested preferences. Lawful basis: Contract or steps requested before a contract; legitimate interests in responsive customer service.
- Orders and tailoring — Confirm payment; review measurements; produce, quality-check, customise and deliver garments; provide order updates. Lawful basis: Contract; legal obligation where tax, consumer or customs rules apply.
- Payments and fraud — Process payments and refunds; prevent fraud, account misuse and chargebacks; secure checkout. Lawful basis: Contract; legal obligation; legitimate interests in protecting customers and the business.
- After-sales support — Handle delivery issues, fit support, alterations, returns, refunds, replacements, remakes and service complaints. Lawful basis: Contract; legal obligation; legitimate interests in resolving issues and defending claims.
- Records and compliance — Maintain accounting, tax, customs, consent, rights-request and complaint records; respond to regulators or lawful requests. Lawful basis: Legal obligation; legitimate interests in governance and legal claims.
- Site operation and security — Operate the cart, checkout, account and currency features; troubleshoot, prevent attacks and improve reliability. Lawful basis: Contract where necessary for a requested service; legitimate interests; strictly necessary technology exceptions.
- Analytics and improvement — Understand Site performance and use, including through Shopify analytics, Google Analytics and Microsoft Clarity. Lawful basis: Consent where required; otherwise legitimate interests or a statutory analytics exception where its conditions, information and objection rights are met.
- Marketing — Send newsletters, product news and offers; measure campaign engagement; maintain suppression records. Lawful basis: Consent or the electronic-mail soft opt-in where permitted; legitimate interests in administering preferences and preventing unwanted messages.
- Personalisation and advertising — Personalise content and, where enabled, measure or target advertising through pixels or tags. Lawful basis: Consent where required; legitimate interests only where permitted and appropriately balanced.
Where we rely on legitimate interests, we consider the benefit of the processing, whether it is necessary and the impact on you. You may object to processing based on legitimate interests. Where we rely on consent, you may withdraw it at any time without affecting earlier lawful processing.
5. Information Needed to Provide Our Services
Some information is necessary to enter into or perform a contract with you. We normally need your contact and delivery details, the selected product and size or measurements, and payment confirmation. If you do not provide required information, we may be unable to accept, tailor, deliver or support the order. Optional fields and marketing subscriptions are not a condition of purchase.
6. Who We Share Information With
We disclose only the information reasonably needed for the purpose. Recipients may act as our processors, independent controllers or, in limited cases, joint controllers under their own legal responsibilities.
- Shopify and commerce services — To host and operate the Site, accounts, cart, checkout, order administration, Shop features, fraud controls and platform analytics.
- Payment providers — The provider selected at checkout, including PayPal or the relevant card-payment provider, to authorise payments, carry out checks, process refunds and handle disputes.
- Tailoring, manufacturing and quality teams — Relevant order specifications and measurements are provided to the people producing and checking garments, including our manufacturing operations in Pakistan. We minimise direct identifiers where practical.
- Delivery providers — DHL, FedEx, SkyNet or another agreed carrier receives the name, delivery address, contact details and shipment information needed to deliver and track the parcel.
- Communications and support providers — Email, cloud, helpdesk and marketing suppliers; and WhatsApp or Meta where you choose to communicate through WhatsApp.
- Analytics and technology providers — Shopify analytics, Google Analytics, Microsoft Clarity and technical performance, security or optimisation suppliers. Depending on configuration and your choices, these providers may receive online identifiers and interaction information.
- Professional and public bodies — Accountants, insurers, banks, lawyers, auditors, regulators, courts, customs authorities, police or other public bodies where disclosure is necessary and lawful.
- Business changes — A prospective buyer, seller or adviser if the business or its assets are reorganised, financed, sold or transferred, subject to appropriate confidentiality and data protection measures.
We do not sell or rent personal information for money. Some advertising-related disclosures may be treated as a sale, sharing or targeted advertising under laws outside the UK; where those laws apply, we will provide the required notice and choices.
7. Website Analytics and Session Information
The Site uses Shopify technologies and currently includes Google Analytics and Microsoft Clarity integrations. Google Analytics helps us understand traffic, page use and conversions. Microsoft Clarity can create heatmaps and session-replay-style information from interactions such as page views, clicks, scrolling, navigation and device or browser information. These services may use identifiers, cookies or similar technologies according to their configuration and your choices.
Analytics is used to diagnose problems, improve navigation and understand the effectiveness of the Site. It is not intended to capture full payment-card details. Avoid entering information in a free-text field unless it is needed for your request. Google, Microsoft and Shopify also handle information under their own privacy terms where they act for their own purposes.
8. International Transfers
Some personal information is processed outside the United Kingdom. In particular, relevant measurements and order specifications may be provided to our tailoring and manufacturing operations in Pakistan. Shopify, payment, analytics, communications, cloud and delivery providers may also process information in other countries.
Where a recipient is in a country not covered by UK adequacy regulations, we take the steps required by UK data protection law. Depending on the transfer, these may include the UK International Data Transfer Agreement, the UK Addendum to approved contractual clauses, another permitted safeguard, and proportionate technical or organisational measures. You may contact us for information about the safeguard relevant to a transfer, subject to necessary redactions.
9. How Long We Keep Information
We keep personal information only for as long as needed for the purpose collected, including to provide repeat-order or support services, meet legal and accounting duties, resolve disputes, prevent fraud and establish or defend claims. We consider the nature, sensitivity and volume of the information and the risk of harm. Our normal approach is below.
- Orders, invoices, payments and refunds — Normally six years after the end of the relevant accounting period or customer relationship, or longer where law or an active dispute requires.
- Account and saved profile details — While the account is active; normally reviewed for deletion or anonymisation after two years of closure or inactivity. Order records are retained separately where required.
- Measurements, fit preferences and support photographs — While needed to fulfil and support the order and, for repeat service, normally up to three years after the last order or fit-related contact, unless you request earlier deletion or a claim requires longer retention.
- Routine enquiries — Normally up to two years after the enquiry closes. Material complaint, return or legal-claim records may be retained for up to six years or as the law requires.
- Marketing records — Until you unsubscribe, withdraw consent or we determine the record is no longer current. We may keep a minimal suppression record to respect an opt-out.
- Website, cookie and analytics data — For the period shown in the relevant cookie or provider setting and no longer than needed for the stated purpose. Security logs are normally retained for up to 12 months unless an incident requires longer.
When retention ends, information is deleted, anonymised or isolated from routine use. Copies may remain temporarily in protected backups until the normal backup cycle replaces them.
10. Cookies and Similar Technologies
Cookies, pixels, tags, local storage and similar technologies help operate the Site and may recognise a browser or device. They can be set by VogueNThreads, Shopify or another provider. The categories used or capable of being used on the Site include:
- Strictly necessary — Required for requested functions such as security, network transmission, account access, cart, checkout, payment, fraud prevention and privacy choices.
- Functional — Remember preferences such as currency, location or display choices and improve Site features.
- Analytics and performance — Measure visits, navigation, errors, speed, interactions and conversions, including through Shopify, Google Analytics and Microsoft Clarity.
- Advertising and marketing — Measure campaigns, limit repetition, build audiences or personalise advertising where these functions are enabled.
For non-essential technologies that require consent, we ask for it before use. If a statutory exception applies, we provide the required information and an easy way to object. You can use any Cookie Settings control displayed on the Site to change your choices and can block or delete technologies through your browser or device. Blocking strictly necessary technologies may prevent parts of the Site from working. Withdrawal does not affect processing that occurred lawfully before the change.
11. Marketing Communications
If you subscribe or the electronic-mail soft opt-in lawfully applies to an existing customer, we may send product news, offers and related updates. You can opt out at any time by using the unsubscribe link or emailing support@voguenthreads.com. We may still send non-marketing messages needed for an order, account, security issue, rights request or customer-service matter.
We do not use consent to marketing as a condition of purchase. If we use advertising cookies, pixels or audience tools, the choices described in the cookies section also apply.
12. Automated Checks
VogueNThreads does not itself make decisions based solely on automated processing that produce legal or similarly significant effects for you. Payment, fraud-prevention or platform providers may use automated checks under their own privacy notices. If an order is affected by such a check, contact us so we can explain the available review route or direct you to the relevant provider.
13. Your Data Protection Rights
Depending on the circumstances and applicable law, you may have the following rights. They are not absolute, and exemptions may apply.
- Access — Ask whether we use your personal information and request a copy together with related information.
- Correction — Ask us to correct inaccurate information or complete information that is incomplete.
- Deletion — Ask us to delete information when there is no valid reason to keep it.
- Restriction — Ask us to limit how information is used in certain circumstances.
- Objection — Object to processing based on legitimate interests. You may object to direct marketing at any time, and we will stop using your information for that purpose.
- Portability — Receive certain information you provided in a structured, commonly used and machine-readable format, or ask us to transmit it where technically feasible.
- Withdraw consent — Withdraw consent at any time where consent is our basis, without affecting use before withdrawal.
- Complain — Raise a data protection complaint with us and complain to the Information Commissioner's Office or another competent supervisory authority.
To exercise a right, email support@voguenthreads.com and state the right you wish to use. We may request proportionate information to verify identity and protect your account. Rights requests are normally free. We respond without undue delay and usually within one calendar month. Where permitted, a complex request or multiple requests may take up to two additional months; if so, we will explain the extension within the first month.
14. Data Protection Complaints
You can make a data protection complaint by emailing support@voguenthreads.com with the subject line “Data Protection Complaint”, by telephone, or by writing to the address below. Tell us what happened, the information involved and the outcome you are seeking. Do not send identity documents unless we request them through an appropriate channel.
We will acknowledge receipt within 30 days, take appropriate steps to investigate without undue delay, keep you informed as appropriate and tell you the outcome. You also have the right to complain to the Information Commissioner's Office at https://ico.org.uk/make-a-complaint. You do not have to contact us before approaching the regulator, although we welcome the opportunity to resolve concerns.
15. Security
We use proportionate technical and organisational measures intended to protect personal information against accidental or unlawful loss, alteration, disclosure, access or destruction. Measures may include access controls, secure connections, supplier checks, staff confidentiality, data minimisation, backups and incident procedures. No internet transmission or storage system is completely secure, so please use a strong unique password and contact us promptly if you suspect account misuse.
16. Children
The Site is intended for adults making purchases. An adult should place an order for a child or young person's garment and provide any required measurements. We do not knowingly invite children under 13 to create accounts, subscribe to marketing or submit personal information directly. If you believe a child has provided information without appropriate involvement of a parent or guardian, contact us so we can review and delete it where required.
17. Third-Party Sites and Services
The Site may link to social networks, payment providers, carriers or other websites and services. When you leave the Site or use a third party directly, that party's privacy policy applies to its own processing. We encourage you to review it. This policy does not control the independent practices of third parties.
18. Changes to This Policy
We may update this policy when our services, providers or legal obligations change. We will post the revised version on the Site and update the date at the top. If a change materially affects how we use information already collected, we will provide additional notice or seek consent where required.
